Overview
Renter Issues is a maintenance triage platform for rental properties. Property managers use it to invite their tenants, contractors, and in-house technicians; tenants report maintenance issues and work through guided diagnostic steps; and property managers request quotes or dispatch a technician to resolve what remains.
This policy explains what information the app collects, why we collect it, and who can see it. It covers everyone who uses Renter Issues: property managers, tenants, contractors, and technicians.
Information we collect
Account details. When you register or accept an invitation, we store your name, email address, and the role you hold in a workspace (property manager, tenant, contractor, or technician). Tenant accounts also store the property address supplied by the property manager.
Maintenance issues. When a tenant reports a problem, we store the title, category, description, the answers given while working through the diagnostic steps, the outcome, and any photos uploaded with the report. Property and technician notes added while resolving the issue are stored too.
Contractor and technician profiles. Property managers add the name, trade, phone number, and email address of their contractors and in-house technicians. Technicians may upload a security selfie, which is shown to the tenant so they know who is arriving.
Quotes and billing. When a contractor submits a quote, we store the price, estimated time of arrival, proposed visit time, and notes. When a job is completed, we store the completion notes, final billed amount, payment instructions, and whether the bill has been marked as paid.
Invitations. We store the email address of anyone invited to a workspace, together with the role and property details the property manager provided.
Preferences. We store your notification preferences, including whether you want phone push notifications.
How we use your information
We use this information only to operate the service: to route a reported issue to the right people, to let property managers compare quotes and dispatch a technician, to keep everyone informed about the status of a job, and to send the notifications and emails you have asked for.
We do not sell your personal information, and we do not use it for advertising or profiling.
Who can see your information
Access is scoped to your workspace. Each property manager, tenant, contractor, and technician sees only the records that belong to their own workspace and their own role.
Property managers can see the issues reported at their properties, the contractors and technicians on their team, and all quotes and billing for their workspace.
Tenants can see their own reported issues. When a technician is dispatched, the tenant is shown the technician’s name and security selfie so they know who is coming. Tenants are not shown contractor pricing or quotes.
Contractors and technicians see only the job details they need to quote or complete the work — the issue description, category, property address, tenant contact details, and any photos the tenant attached.
Photos and selfies
Photos a tenant attaches to an issue are stored and shown to the property manager and to any contractor or technician assigned to that job, so the problem can be assessed before someone arrives.
A technician’s security selfie is uploaded voluntarily and is shown to tenants for the job they are assigned to. Contractors are not asked for a selfie. You can remove or replace your selfie at any time from your profile.
Payments
Property manager subscriptions are processed by our payment provider, Base44 Payments. Payment is completed on the provider’s own checkout page, and we never receive or store your card number or full payment credentials. We store only the resulting subscription status so we know whether your workspace has access.
Billing details between property managers and their contractors — quoted prices, final amounts, and payment instructions — are recorded in the app as part of the job history. Payments between them happen outside the app.
Emails and notifications
We send transactional emails and in-app notifications about the things that happen in your workspace: a new quote request, a quote being accepted, a job being completed, a bill being paid, or an issue being escalated. These are part of the service, not marketing.
You can turn phone push notifications on or off at any time from your account menu.
Data retention and deletion
We keep your information for as long as your account is active. When a property manager deletes their account, the workspace data associated with it — including tenant records, contractors, technicians, issues, and quotes — is removed.
Tenants, contractors, and technicians can ask their property manager to remove them from a workspace, or request deletion of their account.
Security
Access to every record is restricted to the people who need it, based on workspace and role. Workspaces are invite-only: tenants, contractors, and technicians can only join through an invitation from a property manager.
Data is transmitted over encrypted connections. No system is perfectly secure, so please use a strong, unique password for your account.
Children
Renter Issues is intended for adults managing and living in rental properties. It is not directed to children, and we do not knowingly collect information from anyone under 18.
Changes to this policy
If we make a material change to how we handle your information, we will update this page and revise the date shown above.
